How Do I Sell a Prepaid Service Package in Prospyr?

Learn how to sell a gift card in person and give the purchaser a redemption code for later use.

Packages let a patient prepay for multiple services at once. This article walks front-desk staff and admins through selling a package, using part of it during the same visit if needed, and confirming what's left on the patient's account afterward. This process is available to all standard staff roles — no special permission is required.

Prerequisites

  • The package must already be created under Settings → Catalog → Packages, including its included services, pricing, tax settings, and any expiration rule.

  • Note: If a package doesn't appear in the package selector during checkout, confirm it's marked active and correctly configured in the Catalog before troubleshooting further.

Sell a package

  1. Create or open an invoice for the patient — from the schedule, an appointment, or the patient's profile.

  2. Select Add Package on the invoice.

  3. Search for and select the package the patient wants to purchase. The package price fills in on the invoice automatically.

    • To sell more than one package on the same invoice, select Add New Package and choose the additional package.

  4. Review the invoice — package, price, services being used today, taxes, discounts, and total — then complete the checkout process as usual.

Note: The patient's unused prepaid services are only added to their account once checkout is completed successfully. An in-progress or abandoned invoice won't credit the account.

Confirm the patient's remaining prepaid services

After checkout is complete:

  1. Open the patient's profile.

  2. Go to the patient's Billing area.

  3. Review the patient's available package benefits (coupons).

Note: Only unused, active benefits appear here. If the package has an expiration rule configured, that expiration date applies to these benefits.

Use prepaid services at a future visit

When the patient returns to redeem more of their package:

  1. Create or open their invoice.

  2. Add the eligible service.

  3. Apply the patient's available package benefit during checkout.

  4. Review the total and complete checkout.

Note: The patient's remaining available quantity updates automatically once the benefit is redeemed.

Common issues and troubleshooting

Why isn't a package showing up in the package selector? Confirm the package is marked active and correctly configured under Settings → Catalog → Packages. Inactive or misconfigured packages won't appear on the invoice.

Why didn't the patient's unused services show up on their account? Prepaid services are only credited after checkout is completed successfully. If the invoice wasn't fully paid or the checkout process was interrupted, the benefits won't appear yet — return to the invoice and complete checkout.
