Can I apply a package credit same-day?
Use this guide to sell a package and apply one of its credits to today's visit in the same checkout, instead of banking every credit for a future appointment.
This article is for front-desk staff and anyone with permission to create and edit invoices.
Before You Start
The package must already exist under Settings → Catalog → Packages before you can sell it. If you don't see it as an option on the invoice, it hasn't been created yet.
Normally, every credit from a package purchase banks into the patient's wallet and shows up as a yellow coupon tag, ready to apply on a future visit from Item coupons on the invoice.
Same-day use is the exception: it lets you apply a credit the moment the package is purchased, so the patient's today service is covered by the package instead of billed separately.
How to Sell and Use a Package in the Same Checkout
Open or create the invoice for today's appointment.
Confirm today's service is on the invoice. It usually auto-populates from the appointment, but add it manually if it's missing.
Click the Package button and select the package the patient is buying.
Open Configuration options on the package line.
Toggle on Auto-apply coupons.
Prospyr applies one package credit to today's service automatically, so the patient is essentially just paying for the package itself.
Check out and collect payment as you normally would.
Important: Toggling on Auto-apply coupons applies a credit immediately, so double-check the toggle before checkout if the patient wants to save every credit for a future visit instead.
What Happens to the Remaining Credits
Only the unused credits bank into the patient's wallet once checkout is complete.
Laser example: a 6-treatment package with one treatment used today leaves 5 credits in the wallet instead of 6.
Botox example: a 50-unit package with 20 units used today leaves 30 units in the wallet instead of 50.
Those banked credits stay in the patient's wallet and can be applied to future visits from Item coupons on a later invoice.
Common Issues
The package I want to sell isn't showing up on the invoice. The package needs to be created first under Settings → Catalog → Packages. Once it's set up there, it will appear as an option when you click the Package button on an invoice.
I don't want the patient to use a credit today — I want it all saved for later. Leave Auto-apply coupons turned off. All credits will bank into the patient's wallet and can be applied to future visits from Item coupons instead.
The wrong number of credits banked after checkout. Check whether Auto-apply coupons was toggled on and how many units or treatments the service used — the applied amount is subtracted from the total package credits before the rest bank into the wallet.
