Before you begin:
To pay with a gift card, the funds must first be in the patient’s gift card balance. If the card was already assigned to the patient when it was purchased, you can use that balance at checkout. Otherwise, redeem the code at checkout or from the patient’s wallet to add the funds.
Adding the funds does not pay the invoice. Select Pay with Gift Card when collecting payment to apply the balance to the invoice.
Redeem a gift card during checkout
Open the payment screen
Open the patient's invoice, or create one, and click Pay Now.
Choose Gift Card
Gift Card: Pick this payment method. The amount under it is the patient's gift card balance.
Patient Wallet: A different payment method. It uses wallet credit, not gift card balance.
Available balance: The gift card balance this patient can use right now.
Enter the code and redeem it
Redemption Code: Type the code from the receipt or card. Capital or lowercase letters both work.
Redeem: Adds the card's balance to this patient. You'll see Gift card redeemed.
The Available balance and Payment Amount update right away. Then finish with Pay with Gift Card, as shown in Pay with a gift card balance below.
Redeem a gift card from the patient’s wallet
Use the patient’s wallet to redeem a gift card without starting checkout. You can also use this option to assign a gift card you just sold to its intended recipient. The funds stay in the patient’s gift card balance until they’re ready to use them.
Open the Patient Wallet
On the patient's profile, click the balance next to their name. This opens Patient Wallet.
Available Balance: Wallet credit. It's separate from gift card money.
Gift Card Balance: Everything left on the gift cards this patient has redeemed.
Redeem the code
Add: On the Gift Card Balance card. Opens the Redeem Gift Card field.
Redeem: Adds the code's balance to this patient. You'll see Gift Card Redeemed! and the new balance.
Gift Cards: This tab lists each redeemed card with its code and remaining balance.
Pay with a gift card balance
Once a card is redeemed, the patient can use its balance on any invoice. If it doesn't cover everything, collect the rest another way.
Choose Gift Card
On the patient's invoice, click Pay Now and pick Gift Card.
Check the amount and pay
Payment Amount: Fills in with the amount due or the gift card balance, whichever is lower.
Pay with Gift Card: Applies that amount to the invoice. You'll see Payment Successful!
Want to use only part of the balance? Type a smaller Payment Amount before you pay.
Collect the rest with another method
If the card didn't cover it all, Amount Due drops to what's left. Pick another method, like Cash, and collect the rest as usual.
Any gift card balance the patient doesn't use stays with them for next time.
Troubleshooting
"Invalid redemption code" at checkout
Check the code for typos. A code that's already been redeemed won't redeem again, even for the same patient. If it was redeemed before, check the Gift Cards tab in that patient's wallet.
"Unknown error, please refresh and try again" in the wallet
This is what the wallet shows when a code can't be redeemed. Check for typos and extra spaces, and whether the code was already used.
"Value must be greater than 0" under Payment Amount
The patient doesn't have a gift card balance yet. Redeem a code first, or pick another payment method.
Gift Card Balance shows $0.00 right after redeeming
Close the wallet and open it again. The new balance will show.
The card was redeemed on the wrong patient
Open that patient's wallet, go to Gift Cards, and click Transfer on the card. Then search for the right patient.
Good to know
Codes work like cash: Anyone who has an unredeemed code can redeem it, so keep codes private.
Balance next to the name: Shows wallet credit and gift card balance added together.
Patient Wallet payments: Only use wallet credit. Gift card money is always paid with Gift Card.
