How to Sell a Gift Card in Prospyr

Sell a gift card by adding it to the buyer’s invoice, then choose who will receive the balance. Buyers can purchase a gift card for themselves, for another patient, or leave it unassigned for the recipient to redeem later.

Note: The sale records who bought the card. Redeeming assigns it to whoever will use it. These can be different people. Redeeming doesn't spend anything; it just puts the balance on that patient's gift card balance for later.

Sell the gift card

Go to Invoices and click New Invoice.

Creating a new invoice for the buyer, adding a Gift Card line with a price, clicking Pay Now, and recording a cash payment

Start the invoice for the buyer

  • Client: The person paying for the card, even if it's for someone else.

  • Location: Required. The item buttons stay grayed out until you pick one.

Add the gift card

  • Gift Card: Adds a gift card line to the invoice. Add one line per card you're selling.

  • Price: The amount loaded onto the card. This becomes its starting balance.

You can sell services or products on the same invoice too.

Collect payment

  • Pay Now: Opens the payment screen for this invoice.

  • Cash: Or whichever method the buyer is paying with.

  • Record $25.00 Payment: Finishes a cash sale. The button shows your invoice total.

Once the invoice says Paid in Full, the card and its code are ready. Nobody has the balance yet.

Next, pick one of the two options below. Assign it now if you know who it's for, or give the buyer the code to pass along.

Assign the gift card to the recipient

Use this when you know who the card is for. That could be the buyer themselves or another patient. Redeem it straight onto the recipient's profile.

On the recipient's profile, clicking the balance next to their name, clicking Add on Gift Card Balance, entering the code and clicking Redeem, then opening the Gift Cards tab

Copy the code from the sale

  • Benefits: This tab on the paid invoice shows the card's Code.

Open the recipient's Patient Wallet

Go to the recipient's profile, not the buyer's (unless they're the same person). Click the balance next to their name to open Patient Wallet.

Redeem the code

  • Add: On the Gift Card Balance card. Opens the Redeem Gift Card field.

  • Redeem: Puts the balance on this patient. You'll see Gift Card Redeemed!

  • Gift Cards: This tab shows the card, its code, and its remaining balance.

That's it. The recipient can use the balance at any checkout. For paying with it, see How do I redeem and use a gift card in Prospyr?

Give the purchaser the redemption code

Use this instead when the recipient will claim the card later. The buyer gets a receipt with the code, and the balance stays unassigned until someone redeems it.

Opening the Benefits tab to see the gift card code, clicking Send Receipt, then opening Print Receipt to show the code on the receipt

Find the code

  • Benefits: This tab on the paid invoice shows the card's Amount, Balance, and Code.

Give the receipt

  • Send Receipt: Emails the receipt, code included, to the client on the invoice.

  • Print Receipt: In the menu button next to Send Receipt. The code shows under the gift card line.

  • Print PDF: Prints the receipt. Click Close when you're done.

Important: Anyone with the code can redeem the card. Only give it to the buyer, and treat it like cash.

When the recipient comes in, redeem the code on their profile or right at checkout. See How do I redeem and use a gift card in Prospyr?

Good to know:

  • One code, one patient: A code can only be redeemed once. Redeem it on the person who'll use it.

  • Redeemed on the wrong patient? In their wallet, open Gift Cards and click Transfer on the card.

  • Not wallet credit: Gift card money sits in Gift Card Balance, separate from the wallet's Available Balance.

  • Lost the code? Open the original invoice and check the Benefits tab.

  • Capital letters: Receipts print codes in capitals, but codes work in upper or lowercase.

  • Emailing someone else: Send Receipt goes to the client on the invoice. Print it to hand it off another way.

  • Physical cards: Matching printed codes to Prospyr? See How to Use Physical Gift Cards with Prospyr.
