Prospyr Mobile is Prospyr's app for iPhone and iPad. It puts your schedule, patient charts, clinical camera, messages and phone in one place. This article lists what you can do in the app, grouped by area.
Prospyr Mobile is a separate app from the Prospyr website. Opening Prospyr in Safari on your phone, or saving the website to your home screen, is not the same as using the app.
Before you begin:
You need an iPhone running iOS 18 or later, or an iPad running iPadOS 18 or later.
You need a Prospyr account. Sign in with your usual Prospyr login. If your practice uses enterprise single sign-on (SSO), you can sign in with that.
Download the app from the App Store. See Downloading Prospyr Mobile.
What you see depends on your workspace and role
The custom role permissions your practice sets up for your workspace on the web also apply in Prospyr Mobile, where they're relevant. Some features also depend on how your workspace is set up, such as phone service, conversations, payment terminals or AI notes. If a feature in this article doesn't appear for you, ask your practice admin or contact Prospyr Support.
Prospyr Mobile covers the work your team does with patients on the floor. It doesn't include every screen or setting from the Prospyr website. Use the website for setup and for anything not listed here.
Schedule
Calendar views: Look at the schedule one day at a time, three days at a time, or as a list. Short appointments get a compact display so the calendar stays readable.
Filters: Filter the calendar by location, provider and service to see the team's day at a glance.
Book and update appointments: Book new appointments and change existing ones from your phone or iPad.
Reschedule and cancel: Move or cancel appointments. When you reschedule, you can choose to send the patient a confirmation text.
Check in and complete visits: Check patients in when they arrive and complete their visits.
Other events: Create, update and delete other calendar events (not patient appointments). They block time on the calendar.
Live updates: Appointment details update in real time. Changes made in the app on another device, or on the Prospyr website, show up right away.
Patients
Find and add patients: Search for a patient, or create a new patient record from the app.
Patient chart: Open a patient to see their activity, appointments, photos, documents, tasks, messages and calls. The top of the chart shows key patient details and points out things that may need attention.
Edit the profile: Update common patient fields, add or remove tags, and add profile notes.
Activity: Review the patient's activity log.
Quick actions: Take the next step from the chart, such as booking an appointment, sending a text, calling, or capturing photos, without leaving the patient's record.
Clinical notes and AI Scribe
Clinical notes: Create, edit and view clinical notes in the app.
AI Scribe: Record an appointment with a patient, and AI Scribe fills out a note template for you automatically.
Pause and resume from the lock screen: While a recording is running, a Live Activity on your iPhone's lock screen lets you pause or continue the recording without unlocking the app.
AI Scribe may not be turned on for every user or workspace. Follow your practice's policies on patient consent before you record. Always have a provider review and correct an AI-generated note before it's used. For how AI notes work on the Prospyr website, see How do I use AI Note Transcription in Prospyr?
Invoices and payments
Invoices: Create, edit and complete invoices from the app.
Collect payments: Take payments on invoices.
Payment terminals: Send a charge to one of your practice's payment terminals so the patient can pay there. The terminal must already be set up for your practice. See How do I set up a payment terminal in Prospyr?
Photos and media
Clinical camera
Capture into the chart: Clinical photos save straight to the patient's record, not to your iPhone or iPad camera roll.
Before, After or Other: Tag each photo as before, after or other as you take it.
Patient and appointment: Choose the patient and appointment that photos belong to, so they're filed in the right place.
Ghost photos: Show an earlier photo as a see-through guide so you can repeat the same angle. Any photo already taken for that patient can be used.
Overlays and grid: Turn on guide overlays (sorted into categories) or grid lines to line up a consistent shot. Once you turn the grid on, it stays on for your next sessions.
Subject mask: Replace the background behind the patient with a color you choose.
Review uploads: Check and manage the photos you've uploaded during a capture session.
iPad layout: On iPad, the camera controls sit along the side of the screen for easier reach.
Canon tethered capture
You can connect a supported Canon camera to your iPhone or iPad with a USB cable and use it for capture. The app's capture button fires the camera's shutter, and the photos upload to Prospyr automatically. The same camera features (ghost photos, overlays, grid and so on) work with a Canon camera as with the built-in camera. Not every camera works with tethered capture. For requirements, cables and setup, see Connecting to a Canon Camera.
Live view: See what the Canon camera sees, and rotate the view to match portrait or landscape shooting.
Camera errors: The app shows errors from the Canon camera when they happen, such as autofocus, flash or lens errors.
Show Camera Diagnostics: Turn this on to see more details when you're troubleshooting a Canon camera connection.
Viewing and managing photos and videos
Photo viewer: Zoom and pan inside a photo, and crop it.
Photo details: Open a photo's info sheet to view and edit its details, including adding or updating its patient and appointment after the photo was taken.
Share and save: Share a photo from the share sheet, including saving it to your device.
Grouped by date: Photos and videos are grouped by the date they were taken.
Select several at once: Select multiple photos in a patient's media or the media tab and delete them together. Depending on your role, you may need permission to delete photos.
Upload existing files: Upload images from your Photos library or the Files app to the media archive, a patient's chart, or an appointment.
Videos: Play videos in media browsers and in patient conversations.
Documents and tasks
Documents: View a patient's documents, upload new ones, and share them.
Tasks: View tasks, mark them complete, and update or edit them.
Conversations
One inbox: Two-way SMS and Patient Portal conversations are in one list.
Start and reply: Start a new conversation with a patient or reply to an existing one. You can also message from the patient's chart.
Attachments: Reply with message templates, patient photos or documents. You can also attach pictures from your Photos library or files from the Files app.
Read and unread: Conversations are marked as read when you open them. To change this, go to Settings → Conversation Preferences. You can also mark a conversation as read or unread from inside it.
Unread count: A badge shows how many conversations are unread, and it updates live.
Sorting: The conversation list is sorted by most recent message by default. Messages in a conversation are grouped by day.
Archived conversations: View archived conversations and swipe to unarchive one.
Patients without a full name: If a patient record only has a placeholder name, the conversation shows the patient's phone number where possible.
Phone
If your practice uses Prospyr's phone service, you can make and take calls in the app.
Make and take calls: Place outgoing calls and answer incoming ones. Callers are matched to their patient record when possible.
Dial pad: Use the patient picker on the dial pad to fill in a patient's number quickly.
During a call: See the patient's details when the caller is matched to a patient. If the number is unknown, tap Create Patient to add them right away.
Keep working during a call: Minimize the call screen and keep using the rest of the app.
Call history: Review past calls and filter the list. Open a call to see its details and call the person back.
Recordings, voicemail and transcripts: Where available for a call, play the recording or voicemail, read the transcript, follow along with the transcript as the audio plays, and read an automatic summary of the call.
Notifications
Prospyr Mobile can send notifications to your iPhone or iPad. You can choose which notifications you get in the app's settings.
Appointments: New appointments, appointment status changes, and rescheduled appointments.
Conversations: New messages from patients.
Support: Replies from Prospyr Support to a conversation you started in the app.
Settings, sign-in and security
Open Settings: On iPhone, tap your profile icon (your initials). On iPad, Settings is in the sidebar.
Switch workspaces: If you belong to more than one workspace, switch between them in Settings. The app remembers your choice next time you open it. See Changing Workspaces.
Profile picture: Add, change or remove your profile picture.
Auto-lock: Choose to lock Prospyr automatically after it's been in the background for a set amount of time. Unlock it with Face ID, Touch ID or your device passcode, depending on what your device supports.
Conversation preferences: Choose whether conversations are marked as read when you open them.
Camera: Turn on Use External Camera to use a tethered Canon camera.
iPad tabs: On iPad, customize and reorder the tab bar.
Forgot your password?: Send yourself a password reset from the sign-in screen.
Help and support
Help Center: Browse Prospyr help articles without leaving the app.
Contact support: Message Prospyr Support from inside the app, and get a notification when they reply.
