How do I set up a payment terminal in Prospyr?

Learn how to power on, connect, and register a new or replacement payment terminal in Prospyr.

This article walks you through setting up a payment terminal — whether it's your very first terminal, an additional terminal at the same location, a replacement for a damaged unit, or a new terminal for another location. The setup steps are exactly the same in all of these cases.

Note: This article is for practice owners and workspace admins. You'll need admin-level access to register and activate terminals in Prospyr.

Prerequisites

  • Owner or workspace admin access in Prospyr

  • A PAX A800 payment terminal (this is currently the only supported terminal model)

  • Your practice's Wi-Fi network name and password

  • The terminal's serial number, found on the back of the device

Setting up your terminal

  1. Power on the device. Press the flush power button on the side of the terminal.

  2. Connect to Wi-Fi. Go into the settings/configuration app on the terminal and connect it to your practice's Wi-Fi network.

  3. Open the payments app. Exit the settings app on the terminal and open the payments app.

  4. Go to terminal settings in Prospyr. In Prospyr, navigate to Settings > Payments > Payment Terminals.

  5. Start registration. Click Register Terminal.

  6. Enter the terminal details:

    • Give the terminal a name (for example, "Front Desk" or "Room 2")

    • Enter the serial number from the back of the device

    • Select PAX A800 as the terminal model

    • Choose the location this terminal belongs to from the dropdown menu

  7. Complete registration. Click Register Terminal.

  8. Activate the terminal. Click Activate in Prospyr. The terminal should connect automatically.

Important: If you're setting up a terminal for a new or additional location, make sure you select the correct location in step 6 — this determines which location's transactions the terminal is tied to.

Common Issues / Troubleshooting

Prospyr's payment terminals run on Finix, so most connectivity and hardware issues are resolved the same way regardless of which practice or location the terminal belongs to.

Terminal won't connect to Wi-Fi

  1. Test your Wi-Fi network with another device, like a phone or laptop. If that device can't connect either, the issue is with your router — try restarting it.

  2. If other devices connect fine but the terminal doesn't, open the terminal's network settings, select your network, then turn Wi-Fi off and back on.

  3. If that doesn't help, do a full restart: power the terminal off completely, wait a few seconds, then turn it back on.

Terminal isn't charging or won't hold a charge

  1. Confirm you're using the cable and adapter that came with the terminal, and check both ends for damage or debris.

  2. Restart the terminal: power it off completely, wait about 10 seconds, then power it back on.

  3. If you have a second terminal, try the charger on that device to see if the problem follows the charger or the terminal.

  4. If the issue continues, the charger or the terminal's power connector may need to be replaced.

Terminal doesn't activate after registration

Confirm the terminal is powered on and connected to Wi-Fi, then click Activate again in Prospyr.

Can't find the serial number

The serial number is printed on the back of the device and usually starts with "2."
