This article walks through how to upload, capture, align, share, and delete patient photos in Prospyr, from both desktop and mobile. It's for anyone on your team who documents patients with photos.
Prerequisites
Note: To view or upload patient photos, your user role must have the Patient Chart permission set to Allowed.
Note: To delete an existing photo, your user role must have the Delete Photos permission set to Allowed. Team members without this permission can upload and view photos but won't see the option to delete them.
If your practice uses a Canon camera for photo capture, it must be connected before you start. See Connecting to a Canon Camera for setup steps.
Important: Always double check that you're uploading to the correct patient's chart before saving, since photos can't be moved between patient records after the fact.
Uploading photos from an appointment
Open the patient's appointment and click + Add Photo.
Select Upload Photo.
Choose one of the following options, depending on what you need to do:
Drag 'n' drop file — upload an existing photo from your computer or device.
Take a ghost photo — line up your camera with a photo template. Helps ensure you can take consistent before-and-after shots.
Take multiple photos — capture and upload several photos in one session.
Take photos in Prospyr — capture and upload photos to the patient record using the Prospyr iOS app.
Taking a ghost photo
Use this option when you want a new photo to line up with a previous one, like matching the angle of a before-and-after comparison.
Click Take a ghost photo.
From the gallery that appears, select a template, or a previous image from Patient Photos, you want to align with.
Line up your camera with the ghosted (semi-transparent) image on screen.
Use the slider to adjust how transparent the ghost image appears, to help you line up the shot.
Once you're happy with the alignment, click the capture button. The photo will then be added to the patient's appointment record.
Taking multiple photos
Use this option when you're capturing several photos in one sitting, like a full set of treatment area angles.
Click Take multiple photos.
Click the capture button to take a photo. To review taken photos click on the image stack icon in the top right.
Repeat step 2 until you've captured all the photos you need.
Capturing photos on mobile
You can capture photos directly through the Prospyr iOS app on your phone or tablet.
From the patient's record in the app, tap the camera icon in the top right.
Take photos using your device’s camera.
Once you close out the camera by clicking on the “X” in the top right corner the photos will automatically be uploaded to the patient’s appointment and record.
Sharing a patient photo with a patient
You can share photos directly with patients through the patient portal.
Click into the image you’d like to share.
Toggle on Patient Portal Accessible.
Click Save.
The patient will now be able to view the shared image through their patient portal. Should you need to stop sharing an image, click into the image and toggle off Patient Portal Accessible.
Deleting a photo
To delete a patient’s photo click into the image you’d like to delete and then select Delete. The image will be removed from the patient’s appointment and record.
Important: Deleting a photo is permanent and can't be undone. Double check you have the right image before confirming.
Common issues
I don't see an option to upload or delete photos. This is almost always a permissions issue. Ask your practice admin to check that your role has Patient Chart permission (for uploading) or Delete Photos permission (for deleting) set to Allowed.
My ghost photo isn't lining up well. Try adjusting the transparency slider so you can see more of the reference image while you line up the new shot. Moving your camera slowly and using a fixed point in the room or a tripod/stand can also help keep angles consistent between visits.
I connected my Canon camera but don't see the photos in Prospyr. Double check the camera connection and settings. See Connecting to a Canon Camera for troubleshooting steps.
