How to Set Up Pre and Post Care Messaging

Use Pre and Post Care messaging to automatically send patients instructions and supporting documents before or after an appointment.

Pre and post care messaging includes the message your patient receives and any documents that should be sent with it.

You can configure:

  • The general email and patient portal message

  • Default Documents that should be included with pre or post care messages

  • Service specific documents that are sent based on the services the patient booked

Set up the general pre or post care message

In the Pre and Post Care section, you can configure the email that accompanies your patient instructions.

  1. Go to Settings > Messaging > Pre & Post Care > Messaging.

  2. Enter the email Subject.

  3. Customize the message patients will receive by email.

  4. Customize the message patients will receive in the patient portal.

  5. Set the Timing for when the message should be sent before or after the appointment.

  6. Enter the From Address you want the email to come from. The sending email address must be associated with one of your practice's verified email domains.

  7. Add any Default Documents you want included with the message. You can choose whether a document should apply to all locations or only specific locations.

  8. Send a test email to review the message before enabling it.

  9. After sending test message to test patient, select Update Configuration to save your changes.

How pre and post care timing works

For pre care, if an appointment is booked inside the configured send window, the pre care message is sent immediately.

For example, if your pre care message is configured to send 14 days before an appointment and a patient books only seven days in advance, the message will be sent when the appointment is booked.

For post care, if the timing is set to 0 days after the appointment, the message is sent at the appointment's scheduled end time.

Set up service specific pre and post care documents

Documents that only apply to particular services are managed separately from the general email configuration. When a patient books one of the associated services, the appropriate document can be included with the applicable pre or post care communication.

To set up a service specific document:

  1. Go to Settings > Documents > Pre & Post Care.

  2. Select Add New Document.

  3. Click browse files to upload the document.

  4. Select the appropriate document type either pre or post care.

  5. Click Upload Document.

  6. Click Edit to select services that should use the document.

  7. Click Save Changes.

Test your setup

Before relying on the automated message, use the test email option to confirm that the message, formatting, and attachments appear as expected.

Once everything looks correct, select Update Configuration to save your settings.
