A Good Faith Exam, or GFE, is a medical evaluation completed before certain treatments. If your practice manages these exams without a third-party service, you can use Prospyr to schedule the exam, keep documentation in the patient’s chart, and check for a completed GFE during online booking.
Before you begin:
Choose the workflow that fits your practice
Practices document Good Faith Exams in different ways. Your practice may incorporate the exam into a consultation or document it using information collected through an intake form. The steps below outline one approach using a dedicated scheduled Good Faith Exam.
Important: Prospyr’s online booking rule checks for a GFE note created within the last 365 days. This booking check does not replace your practice’s clinical or legal requirements.
Using Qualiphy for Good Faith Exams?
Prospyr also integrates with Qualiphy, a third-party Good Faith Exam service that requires separate payment. If your practice uses Qualiphy, see Qualiphy Integration for Good Faith Exams for setup instructions. This article covers managing and documenting GFEs directly in Prospyr.
Create a Good Faith Exam service
Create a service so your team can schedule GFE appointments.
Go to Settings → Catalog → Services.
Select Create.
Enter a service name, such as Good Faith Exam, and a short description.
Select or create the appropriate service category.
Choose the locations where the exam is offered.
Enter the price and appointment duration. If the exam is free, use your practice’s normal setup for a free service.
Assign the providers who can perform the exam.
Make sure the service is active.
Select Create Service.
Allow patients to book the exam online
If patients should be able to schedule their own GFE:
Open the Good Faith Exam service.
Find the Online Booking section.
Turn on Can be booked online.
Confirm that the correct providers and locations are assigned.
Save the service.
Add the service to the appropriate online booking page, if needed.
If your team will schedule all GFE appointments, leave online booking turned off.
Schedule the exam
Open the schedule or the patient’s chart and create a new appointment.
Select the Good Faith Exam service.
Choose the provider, location, date, and time.
Save the appointment.
The exam appears on the schedule like any other service.
Document the completed exam
After the provider performs the exam:
Open the patient’s appointment or chart.
Create a new clinical note.
Enter the exam findings and other required information.
Check Good Faith Exam near the bottom of the note.
Save or sign the note.
Important: Important: Checking Good Faith Exam within a patient note fulfills the patient’s GFE requirement within Prospyr for 12 months. A dedicated GFE service is not required. Scheduling or completing an appointment with a service named “Good Faith Exam” does not automatically update this status; the checkbox in the note must be selected.
If the exam was completed outside your practice
Upload the exam documentation to the patient’s chart. If the outside exam should count as a completed GFE in Prospyr, your team should also create a clinical note and check Good Faith Exam.
Important: Uploading a document alone does not satisfy the online booking requirement. Prospyr looks for a clinical note marked Good Faith Exam.
Require a GFE before patients book a treatment online
You can require a completed GFE before patients book selected treatments online. Configure this rule on each treatment service that requires an exam.
Go to Settings → Catalog → Services.
Open the treatment service.
Find the Online Booking rules.
Turn on Patient must have Good Faith Exam on file to book.
Save the service.
Repeat these steps for each applicable treatment.
How the online booking check works
When this rule is enabled, the patient must sign in during online booking so Prospyr can check their chart.
To continue booking, the patient must have a clinical note that:
Is marked Good Faith Exam
Belongs to that patient and the practice where they are booking
Was created within the last 365 days
If Prospyr cannot find a qualifying note, the patient cannot book that treatment online. Your team can schedule the GFE first. Once the completed exam is documented in a qualifying note, the patient can return to online booking.
This setting controls online booking eligibility for the treatment. It is not a general service setting for allowing booking without a GFE and displaying a GFE Required tag.
Good Faith Exam alerts
When GFE reminders are enabled under Settings → Configuration → Good Faith Exams, Prospyr displays “Good Faith Exam Required” if the patient does not have a note marked as a GFE from the past 365 days. This applies to missing or outdated GFEs, regardless of the appointment’s service.
Open the patient’s appointment from the Schedule or from the Appointment tab in the patient profile.
Look for the red Good Faith Exam Required alert.
Note: This alert does not send an email, text, or push notification, automatically schedule an exam, or assign a provider.
GFE status is based on the note’s creation date, rather than its signature date or an expiration date entered in the note.
Common questions:
Does completing a GFE appointment automatically mark the exam as complete?
No. The appointment is used for scheduling. A clinical note must also be marked Good Faith Exam to count toward the online booking check.
Can patients book their own GFE?
Yes. Enable Can be booked online on the Good Faith Exam service, confirm its providers and locations, and add it to the appropriate booking page if needed.
Why can’t a patient book a treatment after completing their exam?
Check that:
A clinical note was created for the exam.
Good Faith Exam is checked on the note.
The note was created within the last 365 days.
The note belongs to the same patient and practice where the patient is booking.
The patient is signed into the correct patient account.
An appointment marked complete or an uploaded document alone will not satisfy the booking check.
Why don’t I see the Good Faith Exam checkbox?
The Good Faith Exam feature may not be enabled for your practice. Contact Prospyr Support for help.
How long does a GFE count for online booking?
Prospyr checks for a GFE note created within the last 365 days. Continue to follow your practice’s renewal requirements, even if the note qualifies under Prospyr’s booking check.
