Updating Patient Info In Prospyr

Learn how to edit a patient's tags, contact details, address, and card on file from their profile in Prospyr.

How do I update a patient's information?

This article walks you through editing an existing patient's profile in Prospyr: updating tags, contact information, addresses, and payment cards on file. It's for front-desk staff, office managers, and anyone else with permission to edit patient records.

Prerequisites

  • You'll need an active patient profile already created in Prospyr.

Updating tags on a patient profile

Tags help you quickly filter and identify patients (for example, "VIP," "Membership Member," or "Allergy").

  1. Open the patient's profile.

  2. Find the tags section near the top of the profile.

  3. Click the X next to a tag to remove it.

  4. Click Add Tag and either select an existing tag from the dropdown or type a new tag name to create one.

  5. Click the tag to add it to the profile.

Updating a patient's contact or personal information

  1. Open the patient's profile.

  2. Click the ID card icon in the top right corner of the profile.

  3. Click Edit.

  4. Update the patient's name, phone number, email, or other details as needed.

  5. Click Save.

Important: Double-check the email and phone number before saving. These are often used for appointment reminders, marketing communications, and Patient Portal login, so an incorrect entry can cause a patient to miss reminders or lock them out of their portal.

Adding or updating a patient's address

  1. Open the patient's profile and click the ID card icon in the top right corner.

  2. Click Edit (pen & paper icon).

  3. Enter the new address details.

  4. Mark the address as the default billing address if this is the address that should appear on invoices and receipts.

  5. Click Save.

Note: A patient can have more than one address on file, but only one can be set as the default billing address at a time.

Adding or updating a card on file

  1. Open the patient's profile and click the credit card icon on the far right.

  2. Click Save Credit Card.

  3. Enter the new card details.

  4. Click Submit. The new card will then be stored on the patient's profile.

Important: A card is automatically added to a patient's file any time they complete a successful card-not-present transaction (such as a phone or online payment), you don't need to manually add it in that case.

Common issues

  • I don't see an Edit button or cannot make edits on the profile. This usually means your user role doesn't have permission to edit patient records. Check with your practice admin to confirm your permission level.

  • The wrong address is showing up on an invoice. Invoices pull from whichever address is marked as the default billing address. Open the patient's profile and confirm the correct one is selected.

  • A card I manually entered isn't the one being charged. If a patient has multiple cards on file, double check which one is marked as the default before checkout.

  • A new tag isn't showing up for other patients. New tags created on one profile become available practice-wide going forward, but they won't retroactively apply to other patient profiles, you'll need to add them individually.
