How do I merge duplicate patient profiles?
This article walks you through merging two duplicate patient profiles into a single record. It's for any staff member with patient access permissions.
Prerequisites
You'll need patient access permissions to merge profiles. If you don't see the merge option, ask your practice admin to check your permission level.
You need at least two profiles for the same patient to merge.
How to merge duplicate patient profiles
Search for the patient's name using the search bar to pull up their profiles.
Check the box next to each duplicate profile you want to merge.
Click Merge Patients in the lower right corner.
Check the email address shown for the profile you're merging into (the "surviving" profile). This is the email that will remain on the combined record.
Click Swap if the wrong profile is set as the one being merged into. This flips which profile survives the merge.
Click Merge Patient to finish combining the records.
Note: When you merge two profiles, Prospyr moves all related records from the profile being merged into the surviving profile, including memberships, gift cards, invoices, tasks, appointments, wallet coupons, flowsheet data, and patient conversations.
Common issues
I don't see a Merge option. This usually means your account doesn't have patient access permissions. Check with your practice admin to update your permission level.
I merged the wrong two profiles. To unmerge the profiles, go to the Activity tab in the patient record. Find the line item that details the merge and click "Unmerge."
I'm not sure which profile will "survive" the merge. In the Merge Patients window, the top card (labeled "Merge") is the profile that gets merged away, and the bottom card (labeled "Into") is the one that survives with all the combined records. Click Swap to flip which profile is on top if you have them backwards.
