Pre-care and post-care documents are the instruction sheets your patients get before or after a treatment. Practice managers and clinic staff upload them on the Documents page and choose which services each document belongs to.
This article covers uploading and assigning documents. To set up when and how pre- and post-care messages are sent, see How to Set Up Pre and Post Care Messaging.
The Documents page
1 Pre & Post Care: Go to Settings, open Documentation in the left menu, and select Pre & Post Care. The page that opens is titled Documents.
2 Search Documents: Type part of a document's title to filter the list.
3 Document Type: Show All types, only Pre-care, or only Post-care documents.
4 Add New Document: Upload a new pre-care or post-care document.
5 Associated Services: Shows how many services use each document. This is where you assign services to a document.
Step 1: Upload the document
Have the file ready on your computer. It must be a PDF of 10 MB or less.
Step 1: Click Add New Document. The Upload document(s) window opens.
1 Browse files: Click Browse files and choose your PDF, or drag the file onto the dashed area. The name of the file you chose appears after Selected file:. Choose the file first, because choosing a file replaces the title with the file name.
2 Title: Enter the name your team will see in the list, for example "Post-Care Instructions". You can also add Tags (Optional) under the title.
3 Document Type: Choose Pre-care for instructions patients need before a treatment, or Post-care for aftercare.
4 Upload Document(s): Click to upload the file. The window closes and the document appears in the list.
Uploading a document doesn't link it to any services. A new document starts with 0 services until you assign them in Step 3.
Step 2: Find the document you uploaded
1 Search Documents: Type part of the title to find your document.
2 Document Type: Choose Pre-care or Post-care to narrow the list.
3 Title: Click the title to preview the document and check you uploaded the right file.
4 Type (editable): If you picked the wrong type, double-click the type in the document's row to change it.
5 Service count: Shows how many services use the document. A new document shows 0 Post-care Services or 0 Pre-care Services.
6 Edit: Click to choose the services that use this document.
Step 3: Assign services
The window shows the document's name and type, for example POST-CARE DOCUMENT. The list includes your active services.
1 Search services...: Type a service name to find it in the list.
2 Service checkbox: Tick each service that should use this document.
3 Selected count: Shows how many services you've selected in total. Your selections stay ticked when you search for another service, so you can search, tick, and repeat. The button next to the count, Select All or Deselect All, ticks or clears services in bulk, so check the count before you save.
Step 4: Limit a service to certain locations (optional)
By default, a document applies to a service at all your locations. If a location uses different instructions, you can limit the document to specific locations for that service.
1 Selected count: Here 2 services are selected for this document.
2 Location restrictions: Click a selected service to open its location options. Once you pick a location, the row shows how many locations it is limited to, such as 1 location.
3 Location: Click each location where this document should apply to the service. Selected locations are highlighted. If you leave all locations unselected, the document applies at every location.
4 Clear restrictions (apply to all locations): Removes the location limits for this service.
5 Save Changes: Saves your services and location choices. If you click Cancel instead, your changes aren't saved.
Step 5: Repeat for the other care type
Pre-care and post-care documents work the same way. Upload each document with the right Document Type, then assign its services.
1 PRE-CARE DOCUMENT: Confirms which type of document you are editing.
2 Service checkbox: Tick the services that need these instructions before treatment.
3 Selected count: The total number of services you've selected, including ones you ticked under an earlier search.
4 Save Changes: Saves the assignments.
Step 6: Check your assignments
1 Count with an asterisk: The number of services now using the document. An asterisk (*) means at least one of those services is limited to certain locations.
2 Count without an asterisk: The document applies to its services at all locations.
To change the services later, click Edit again, change the ticks or locations, and click Save Changes.
Good to know
The upload window asks for a PDF of no more than 10 MB.
Uploading a document and assigning it to services are separate steps. A document with 0 services isn't linked to any service.
Assigning a document to a service doesn't send it to patients by itself. Sending depends on your pre- and post-care messaging settings. Don't expect a new document to go out right away or reach appointments that are already booked. See How to Set Up Pre and Post Care Messaging.
To add or edit the services themselves, see Managing Your Services In Prospyr.
Remove deletes a document from the list after you confirm. The confirmation warns that you can't undo it.
