Before You Begin:
Online booking pulls from other parts of your Prospyr setup, so make sure these are already in place:
Your services
Your providers
Your locations
Any devices required for your services
Provider schedules and availability
Setting up online booking is four steps:
Choose which services can be booked online
Configure providers for online booking
Create your online-booking experience
Get and deploy your booking link
Step 1: Choose Which Services Can Be Booked Online
This is a per-service setting — you'll turn it on individually for each service you want to offer online.
Go to Settings > Catalog > Catalog > Services.
Find the service you want customers to be able to book.
Select the Online Booking checkbox to make it available online.
Note: Only active services marked for online booking will appear on your booking page.
Restrict a Service by Patient Status, History, Membership, or Good Faith Exam
Prerequisites let you limit who can book a service — for example, making it available only to existing patients, or to patients who've had a specific service before.
Edit the service.
Scroll to Configuration & Settings and open the dropdown menu.
If needed, set booking restrictions such as:
Patient status
Patients who have had specific services in the past
Active membership
Completed Good Faith Exam
Save your changes.
Note: If you add more than one previous service, a patient qualifies if they've had any one of them. Patients may be asked to sign in during booking so Prospyr can check their patient status, service history, membership, or other eligibility requirements.
Prompt Add Ons During Online Booking
Add-ons let customers add a related service to their booking. You can create and manage add-ons centrally from Inventory & Add-ons in the Catalog, or attach one directly from a service.
To attach an add-on from a service:
Edit the main service.
Select Add New Service Add-On.
Choose the service to offer as an add-on.
Decide whether it's optional or required.
Choose whether it happens before or after the main service.
Save your changes.
Note: Add-ons are optional by default. Turn on Required if it must be included, or Is Before Core Service if it needs to happen before the main service. Required add-ons are automatically included during booking — customers can add or remove optional ones themselves.
Common add-on questions:
Can any service have an add-on? Yes — add-ons can be created and attached to any service in your Catalog.
What happens if I don't attach an add-on? The customer books that service without seeing an add-on step.
Can I edit or remove an add-on later? Yes, from Inventory & Add-ons in the Catalog.
Step 2: Configure Providers for Online Booking
This is a per-provider setting — repeat it for every provider you want to accept appointments online.
A service won't show any open appointment times unless an eligible provider is available to book online.
Go to Settings > Resources > Providers.
Find the provider and select Edit.
Open the Booking & Capabilities tab.
Turn on Can Be Booked Online.
Set the provider's Booking Buffer.
Confirm the provider has the correct schedule, location, services, and devices assigned.
Save your changes.
Tip: Booking Buffer controls how soon a customer can book an appointment. For example, with a 2-hour buffer, a customer booking at 11:00 AM won't be able to select an appointment earlier than 1:00 PM — even if that earlier time is open on your internal calendar.
Step 3: Create Your Online-Booking Experience
This is a practice-wide setup — it defines the booking experience itself, not an individual service or provider.
Prospyr gives you two ways to offer online booking:
Lead Form (Settings > Online Tools > Lead Forms) — best when most visitors are new leads, you want to collect contact information before they start booking, you want to ask custom or screening questions, or you want incomplete bookings to show up as follow-up opportunities. Lead information is added to your opportunity board even if the visitor doesn't finish booking.
Booking Page (Settings > Online Tools > Booking Pages) — best when existing patients frequently book online, you want customers to browse locations, categories, and services first, or you want a more branded booking experience. Customize the page, confirm its locations and services, and preview the experience before sharing it.

Step 4: Get and Deploy Your Booking Link
This is a practice-wide setup.
You can add online booking to your website by linking a button to it, or embedding it directly on a page. The steps are slightly different for Lead Forms and Booking Pages.
Get and embed a Lead Form
Go to Settings > Online Tools > Lead Form.
Select New Form
Then select Embed.
In the Share & Embed Lead Form panel, copy the Shareable Link to use for a website button, or copy the generated embed code to place the form directly on a page. You can adjust the embed's width and height here before copying.
Tip: You can also set how the link looks when shared — its title, description, and preview image — from the Link Preview settings on the same form.
Get a Booking Page link
Open the Booking Page.
Select the Open in new window icon above the live preview.
Copy the URL from the newly opened tab.
Add a link to a website button
Give the copied URL to whoever manages your website and ask them to connect it to a button, such as Book Now, Schedule an Appointment, or Request an Appointment. When a visitor selects the button, your Prospyr booking experience opens in a new page.
Embed a Booking Page directly on your website

The preferred method is to use the generated embed code under Booking Page Settings > Publish & Embed > Embed.
If needed, you can also use a basic iframe with your Booking Page URL:

Note: Your website administrator may need to adjust the height and make the embed responsive for mobile visitors.
Test Before You Publish
Before announcing online booking, walk through the entire experience yourself as a customer would. Confirm that:
The correct locations appear
Only the services you intended to offer appear
The providers you expect have open times
Service prerequisites and add-ons behave correctly
Prices and descriptions are accurate
The flow works on both desktop and mobile
You reach the expected confirmation screen
The appointment appears correctly in Prospyr
Troubleshooting:
No appointment times are showing up. Check, in this order: the service's online-booking setting, the provider's online-booking setting and availability, the provider's location and schedule, and whether required devices are available.
