Adding Product to be Tracked in Inventory

Before adding an item to your inventory, it’s important to understand the difference between a product and a consumable.

Product: The main item record. A product is created once and serves as the overarching container for all related stock.

Consumable: The individual lots or units of that product you currently have in stock. Consumables live under their associated product and represent your actual inventory counts.

This guide will cover how to add a product.

Step 1: Click Add Product.

Step 2: Enter your product name.

Step 3: Choose the unit type used to track this product, such as units, vials, or syringes.

Helpful Tip: Inventory should always be tracked in the way that it is used/sold. For example, Botox is typically sold by unit even though it comes in a vial.

Step 4: Select your vendor from the list or type to create a new one.

Step 5: Enter the cost per unit. This is what you pay to purchase the product (your wholesale cost).

Step 6: If you want to track lot numbers, check Track Lot Number.

Step 7: To get alerted when stock is low, click Alert when running low and set your threshold.

Step 8: If the product can expire, enable Track Expiration Dates and enter the number of days before expiration you’d like a warning.

Step 9: Click Create and then Continue to move to inventory entry.

Step 10: Add your on-hand quantity. Enter the quantity, lot number, and expiration date. If you don't want to add any stock yet, click skip inventory. Once your on-hand quantity details have been added, click Next.

Step 11: Choose the location for this inventory and click Save and Continue.

Step 12: Associate this inventory with services if needed, or skip if not required.

Step 13: To add another product, select Add another product. If you’re finished, click Done.

Adding products to your inventory is the foundation of tracking usage, costs, and expiration—helping you stay organized and make smarter purchasing decisions.
