How to Use Conversations in Prospyr

Manage Patient Messages Across Multiple Channels

Learn how to manage patient messages from SMS, the patient portal, and Instagram Direct Messages

Step 1: When a patient sends a message, you can receive message notifications through the in-app Notification Bell, text message, or email.

Step 2: To see the full messages with patients and respond, click on Conversations.

Step 3: Use the search bar to find specific conversations by patient name.

Step 4: Apply filters to narrow down conversations, by unread messages, archived, locations, or patient tags.

Step 5: Use sort options to arrange conversations by patient reply, your reply, or message newest-to-oldest or oldest-to-newest.

Step 6: Click a conversation to open the message. The message thread will show on the right.

Step 7: Click the phone icon to see all of your text messages with that patient.

Step 8: Click the middle icon to view patient messages sent via the patient portal.

Step 9: If your Instagram account is connected, you can also click the Instagram icon to see any direct messages from that patient.

Step 10: Select the phone icon to call the patient directly from the conversation.

Step 11: Click pop-out messages to open the conversation in a new window for easier multitasking.

Step 12: Click the info tab to view extra patient details.

Step 13: Click the billing tab to see any balances or credits.

Step 14: Click the log tab to see activity.

Step 15: Click the 3 dots to create an appointment.

Step 16: You can also send a scheduling link to the patient.

Step 17: To respond to a message type the message in the text box. You can also include images, documents, or marketing media directly through the portal or SMS. For larger files, its best to send through the portal.

Step 18: When you send a message, hover over the check below it to see its status. Two check marks indicate the patient has received it.
