How to Temporarily Deactivate or Permanently Remove a User

Learn how to deactivate a login or remove a user permanently.

In this article, you’ll learn how to temporarily deactivate or permanently remove a team member or provider.

Step 1: Click Settings.

Step 2: Go to Access and HR.

Step 3: Select Team.

Step 4: Scroll to find the team member you want to deactivate and click the 3 dots by their name.

Step 6: To temporarily deactivate a provider (e.g. maternity leave), use Deactivate Login. This blocks access but lets you reactivate them later.

Step 7: To permanently remove a provider (if they're leaving for good), use Remove User. This action completely ends their access.

Step 8: Next, go to Resources.

Step 9: Scroll down to Providers.

Step 10: Click Edit next to the provider's name.

Step 11: Scroll down to Services and click Deselect all so the provider can't be booked for future services.

Step 13: Then go to Schedule to move appointments off provider's schedule.

Step 14: Filter the schedule by Provider.

Step 15: Move appointments off the provider's schedule by dragging and dropping appointment onto another provider's if available. Then select yes or no to send confirmation to the patient.

Step 16: Alternatively, go to Reports > Operations > Detailed appointment list to search for appointments.

Step 17: Click Date of Appointment, click Next, and enter 365 to view future appointments (up to 365 days). Change any remaining appointments as needed.

Step 18: Once all appointments are updated, return to Settings > Resources > Providers, find the provider, click Edit, and then select Deactivate.

Successfully deactivating a team member or provider ensures your records are accurate and prevents future booking errors. Always remember to update both logins and appointments to keep operations running smoothly.
