Products and Vendors is your master list of everything you stock and the companies you buy it from. Use it to set up, tidy up, archive, and restore products and vendors.
To get there, go to Settings → Inventory → Products and Vendors.
Switch between the tabs
Products: Your active products, with their categories, default cost, and required fields.
Vendors: Your active vendors, the companies you buy products from.
Archived Products: Products you've archived, kept off the Inventory Dashboard until you restore them.
Archived Vendors: Vendors you've archived, ready to bring back whenever you need them.
A few columns on the Products tab are worth knowing:
Subtypes: Shows the categories picked in the product's Categories field.
Default Cost Per Unit: What you usually pay for one unit, not your retail price.
Required Fields: Details your team fills in when adding stock, like a lot number.
Search for a product or vendor
Open the tab you want, then start typing in Search by name or SKU. Part of a name works too, so "dys" finds Dysport.
Add a product
You can create a product here using the New + button in the right corner. However, we recommend adding new products through the Inventory Dashboard, where you can set up the product and enter its starting stock in one flow.
Follow How to Add Products and Consumables to Inventory for step-by-step instructions. If the product already exists and you’re adding more stock, use Add Consumable under that existing product.
Add a vendor
Click New+, then New Vendor. Fill in the Create Vendor panel and click Save.
Name: The company you buy from, like Allergan or Galderma.
Contact Name: Your rep there, with their Contact Email and Contact Phone below.
Note: Anything handy to remember, like an account number or ordering tips.
Edit a product or vendor
Click the pencil icon on the row. Make your changes in the Edit Product or Edit Vendor panel, then click Save.
See the stock linked to a product or vendor
Click the eye icon in the Associated Items column. The Associated Items panel lists the stock entries linked to that row.
Products: Lists each stock entry for the product, with its lot number when it has one.
Vendors: Lists the stock entries, across all products, that are linked to that vendor.
Archive a product or vendor
Click the trash can icon on the row, then click Delete. The item moves to Archived Products or Archived Vendors.
You can also open the pencil icon, switch on Archived, and click Save.
Important: The confirmation says the item will be deleted and it "cannot be undone," but it's archived, so you can restore it.
Restore a product or vendor
Open Archived Products or Archived Vendors and click Restore on the row. It goes straight back to the Products or Vendors tab.
Good to know
Search by name or SKU: Doesn't find lot numbers, and it clears when you switch tabs.
Associated Items: Shows names only, not quantities; a blank panel means no stock is linked yet.
Restore: Works right away with no confirmation, so double-check the row first.
Add Product: For a guided setup with starting stock, see How to Add Products and Consumables to Inventory.
Inventory Dashboard: For stock levels, locations, and alerts, see Overview of the Inventory Dashboard.
