Overview of the Inventory Dashboard

The Inventory Dashboard shows how much inventory you have, where it’s located, and which items may need attention.

Dashboard summary cards

Total Value

Shows the value of your inventory based on recorded costs and quantities, rather than retail prices. Hover over the amount to see the exact value.

Low Stock Items

Shows how many products have a consumable marked as low stock. If the count is greater than zero, click the card to view those products.

Expiring Soon

Shows how many products have a consumable marked as expiring soon. If the count is greater than zero, click the card to view those products.

These counts represent products, not individual units. A product may show an expiration alert even if no stock is currently available.

View All Transactions

Opens your inventory transaction history so you can review inventory activity.

  • Export - lets you download transaction history into CSV file

  • Filters - lets you search transaction history by user, product, vendor, location, or date range

Search and Filter Inventory Items

Search Inventory

Search by product name or unit name. Delete the search text to clear your search.

Filter icon

Opens Filter Inventory, where you can narrow the list by:

  • Location: Where inventory is assigned.

  • Vendor: The vendor linked to a product.

  • Category: The product’s category.

  • Lot # / Batch #: A lot or batch number saved in the consumable details.

Click Apply Filters to update the list or Clear All to clear filters.

Fullscreen icon

Expands the table to give you more room. Click it again to return to the regular view.

Column headers

Some column headers let you sort or filter the list. Drag the edge of a column to make it wider or narrower.

Some quantity columns cannot be sorted.

Page controls

Move between pages and choose to show 10, 25, 50, or 100 products per page.

Expanded consumable lists have separate page controls.

Main action buttons

Start Count

Starts an inventory count.

Add Product

Creates a product listing. Use this when the product is not already in your inventory.

Add Consumable

Adds stock under a product, with its own identifier, quantity, cost, and other details.

Refresh

Updates the table with the latest inventory information.

Export / Export (Filtered)

Downloads inventory information as a CSV file, which you can open in a spreadsheet.

Choose one of these options:

  • Aggregate Product Data: A summary of each product and its quantities by location.

  • Detailed Consumable Report: A list of individual consumable entries, including quantities and expiration dates.

If filters are active, the button may say Export (Filtered), and the export window displays Filters Applied.

To export without those filters, click Clear Filters in the export window. This also removes the table filters. Click Cancel to close without downloading.

Reading the Inventory Table

  • Product Name: The product’s name and its action buttons.

  • SKU: a unique code used to identify and track a product.

  • Vendor: The vendor linked to the product.

  • Available: The total recorded quantity for the product.

  • Unallocated: Stock that has not been assigned to a location.

  • Location columns: The quantity assigned to each location. Scroll sideways to see more locations.

Inventory alerts

Icons next to a product help you identify items that need attention:

  • Orange triangle: At least one consumable is low in stock.

  • Yellow clock: At least one consumable is expiring soon.

  • Red circle with an exclamation mark: The product has both low stock and expiring consumables.

Location quantities may also appear orange for low stock or red for out of stock.

Buttons in Each Product Row

  • Expand arrow: Shows the product’s consumable entries. Click again to hide them.

  • Pencil: Opens the product’s details for editing.

  • Plus: Adds a consumable under that product.

  • Trash can: Opens a confirmation to archive the product and remove it from active inventory. Although the tooltip says Delete, the confirmation says Archive. Click Cancel to leave the product unchanged.

Buttons Under Each Location’s Quantity

These buttons apply to the product at that specific location:

  • Clock: View transaction history.

  • Pencil: Use to adjust/correct the recorded quantity at that location, such as fixing an entry mistake or accounting for lost, damaged, or missing stock. Important: Use this option to adjust existing inventory. To add newly received stock, use Add Consumable.

  • Right arrow: Transfer stock between locations.

Check the location column before making changes.

Expanded consumable details

Click the arrow beside a product to see its consumable entries, including:

  • Identifier: The name or identifier for that stock entry.

  • On Hand: The total recorded quantity.

  • Unallocated: The quantity that can still be assigned to locations.

  • Cost: The recorded wholesale cost.

  • Expiration Date: The expiration date, or N/A if none is entered. Dates marked as needing attention may be highlighted.

Each consumable may also include these buttons:

  • Pencil: Edit the consumable’s details.

  • Trash can: Opens a confirmation to remove the consumable from active inventory. The entry is archived, rather than permanently erased.

  • Allocate: Assign unallocated stock to locations. This button appears when the unallocated quantity is greater than zero.

Good to know

  • Product: The main listing for an item in your inventory.

  • Consumable: An entry under a product that tracks specific stock, including its quantity, cost, and expiration date. A product can have multiple consumable entries.

  • Unallocated: Stock that hasn’t been assigned to a location.

  • Set a product up once with Add Product. After that, use Add Consumable for every new delivery.

  • If you can't find a product in the Add Consumable window, it probably hasn't been set up yet. Use Add Product first.
