Creating and Managing Appointments

Create, view, and edit appointments.

Learn how to schedule appointments, view appointment details, make updates, and manage additional scheduling options in Prospyr.

Creating a New Appointment

There are two ways to start creating a new appointment:

  • From the Schedule: Select the date and time on the schedule where you'd like to book the appointment.

  • From the patient profile: Open the patient's profile, select Action, and choose the option to create a new appointment.

When you select a time directly from the schedule, the date and time are automatically filled in based on your selection.

Once you begin creating the appointment, you can use either the streamlined booking view or the full form to schedule it.

Using the streamlined booking view

The streamlined booking view lets you quickly build the appointment by typing the:

  • Patient

  • Location

  • Service

  • Provider

  • Date and time

As you build the appointment, Prospyr may display information from the patient's booking history, such as services or providers they typically book, to help you schedule more quickly.

Once you've selected the appointment details, choose an available time and click Book Appointment.

Using the full form

Select Full Form to schedule the appointment using the full appointment form.

From here, use the dropdown menu to complete the appointment details:

  • Patient

  • Location

  • Service

  • Provider

  • Date and time

Once you've entered the appointment details, complete the booking by clicking Book Appointment.

You can switch between the streamlined booking view and the full form at any time, so you can use whichever option works best for the appointment you're creating.

Adding services, providers, and add-ons

You can add multiple services to the same appointment and select the appropriate provider for each service.

For example, if a patient is booking a consultation and receiving Botox during the same visit, you can add both services to the appointment and assign the appropriate provider to each.

When you select a service that has a required add-on, Prospyr automatically adds the required service to the appointment.

If an optional add-on is available, you can choose whether to include it. Add-ons are placed in the appropriate order within the appointment, including services that need to occur before the primary treatment.

You can remove an automatically added or optional add-on if it isn't needed for that appointment.

If a service requires a specific device or resource, Prospyr will prompt you to select it when booking. The selected resource is reserved for the appointment time to help prevent double-booking.

Advanced appointment options

Additional scheduling options are still available when you need them. Open the advanced options while booking to:

  • Create a recurring appointment

  • Add an appointment note

  • Send confirmations and reminders

  • Indicate a specific provider was requested

Note: Appointment notes are internal and are not visible to the patient.

Deposits and no-show fees

If your workspace has a deposit or no-show fee enabled, you may be prompted to add a card on file when booking the appointment.

If the patient doesn't have the required billing information on file, you'll be prompted to add it before adding the card.

Depending on your workspace settings and permissions, you may also have the option to Override deposit or Override no-show fee to book the appointment without collecting a card.

Important: Overriding a deposit or no-show fee allows the appointment to be booked without the required card. Make sure this matches your practice's policies before using the override.

Viewing appointment details

Appointment details are organized into sections so you can quickly find the information you need.

At the top, you can view key appointment and patient information, including:

  • Appointment status

  • Patient status

  • Date of birth

  • Phone number

  • Email address

  • Notes

  • Tags

You can also access the patient’s service and product history from the appointment. Expand the section to view their history, then collapse it when you’re finished.

Accessing additional appointment actions

From the appointment details, you can also:

  • Create an invoice associated with the appointment

  • Open the patient profile

  • View documents

  • Access additional appointment actions

Editing an Appointment

To make changes to an existing appointment, select Edit. From here, you can update the appointment details, including:

  • Service

  • Location

  • Provider

  • Date and time

The editing view is organized into expandable sections, so you can open the information you need to update and collapse sections you aren't using.

Once you've made your changes, save the appointment to apply the updates.

Troubleshooting: No available times showing?
Available appointment times are based on the selected provider, service, location, and other scheduling requirements. Try selecting a different date, provider, or appointment option to view additional availability.
