How to Set Up a Location

Configure the details, availability, and resources for each location, including business information, bookable hours, providers, devices, services, products, and prescription settings.

Learn how to create and configure locations in Prospyr for physical offices, virtual services, and special events. This article covers location details, bookable hours, and location-specific resources to help ensure accurate scheduling, online booking availability, and a seamless patient experience.

Step 1: Go to Setting > Resources > Locations.

Step 2: Click Create to add a new location.

Step 3: Enter a location name. This could be your practice’s name, virtual location, or special event.

Step 4: Enter a location email and phone number. A fax number is optional. These will show on your receipts.

Step 5: Specify how many patients can be booked per time slot.

Image

Step 6: Select the location’s time zone. Standard US time zones include New York, Chicago, Denver, Phoenix, and LA.

Step 7: Choose a color to distinguish between location tags on the schedule.

Step 8: Add a location logo. This image will appear on invoices, quotes, and emails sent from this location.

Step 9: Enter an address for the location.

Step 10: When everything looks good, click Create Location to finish.

Calendar Settings

Step 1: Go to Calendar Settings to set location hours.

Step 2: Set your location times.

Step 3: Click Save.

Providers

Step 1: Go to the Providers section to set providers to a location.

Step 2: Click Add Provider and select provider name from drop down menu.

Step 3: Click Add Provider to set the provider to this location.

Devices

Step 1: Move to the Devices section to manage devices available at this location.

Step 2: Click Add Device.

Step 3: Enter the device name.

Image

Step 4: In the Device Type dropdown, select the type of resource the device represents. This setting determines online booking availability, as the resource must be available for any services that require it.

Step 5: In the Dependent Services section, select all services that require the device.

Step 5: For the Location drop down, choose where the device is located.

Step 6: Click Create Device.

Step 7: Adjust Calendar Settings for the device if necessary. By default, the device follows your regular schedule.

Services

Step 1: Go to the Services section to choose which services are available at your location.

Step 2: Select the services to offer.

Step 3: Click Confirm Changes.

Products

Step 1: In the Products section, select the products to make available at the location and click Confirm Changes.

Prescriptions

Step 1: Go to Prescriptions. Click Enable rRX to make electronic prescribing available at the location. Electronic prescribing is an add on feature.
