Tasks are your team's shared to-do list in Prospyr. Use them to hand off follow-ups such as callbacks, lab follow-ups or refill requests, assign each one to a teammate with a due date, and track it until it's done.
To open Tasks, click Tasks in the left menu. You'll also see your open tasks in the My tasks card on the Home page, and in the Tasks tab of each patient's profile.
Find your tasks
The tabs across the top are ready-made lists. Click one to switch lists, then narrow it down with the search box and filters.
Choose a task list
Use the tabs to choose which tasks you see:
My open: Open tasks assigned to you. Tasks opens to this tab by default.
Due today: Your open tasks that are due today.
Overdue: Your open tasks that are past due.
All open: Every open task in the practice, grouped by due date.
Completed: Finished tasks. Open this tab when you need to reopen a task.
Due today and Overdue only show tasks assigned to you, as indicated by the owner: me filter in the search box. To see everyone’s open tasks, select All open.
Search, filter, and organize tasks
Search: Type part of a task name or patient name. You can also type due:, type:, or status: and select a suggestion to apply a filter.
Status and Due: Use these quick filters to narrow the current list. For example, select Next 7 days under Due to see tasks due during that period.
Filter: Click Add condition to filter by Type, Location, Owner, Due, Patient, Created by, Source, or Has comments.
Display: Choose how tasks are grouped and sorted. You can group them by due date, status, task type, or owner, or choose no grouping.
Reset filters or save a view
When you change a list’s filters, Reset and Save view appear next to the tabs:
Reset: Returns the current tab to its original settings.
Save view: Saves your filters as a new tab. Only you can see the new tab unless you choose to share it with everyone in the workspace.
Create and assign a task
Click New task in the top-right corner. Fill in the panel that opens, then click Save.
Task Type: Leave General task selected for everyday to-dos. If your practice has set up other task types, such as Refill request, selecting one changes the Status options to match that type’s workflow—for example, Requested or Sent to pharmacy.
Patient (optional): Search for and select the patient the task is about. The task will also appear on that patient’s Tasks tab. You cannot change the patient after saving the task.
Owner (required): Select the person responsible for completing the task. The task will appear in their My open tab. You cannot save the task without an owner.
Task Description: Enter what needs to be done. This becomes the task’s name in the list, so keep it short and specific—for example, “Call to confirm consult time.”
Due Date (required): The default is tomorrow at the current time. Click the date or time to change it. This determines when the task appears in Due today and Overdue.
Location and Comments (optional): Select a location or add comments as needed.
After you save, a Created task confirmation appears, and the task is added to the list.
Open a task, add a comment or make changes
Click a task in the list to open Task details on the right. Here you can see the patient, owner, due date and who created it, and keep notes for the next person working on it.
Add comment: type an update, then click Save. Comments show with your name and the time. The comment count shows on the task's row in the list.
Reassign: pick a different owner, then click Reassign to hand the task to a teammate.
Actions → Edit: change the task type, status, location, owner, description or due date, then click Save. The patient can't be changed here.
Reschedule, complete or reopen a task
You don't need to open a task for these. Hover over a task in the list to show its quick actions on the right side of the row.
Reschedule (calendar icon): move the due date to Today, Tomorrow, Next Monday, In a week or In a month.
Complete: marks the task done and moves it to the Completed tab. You can also click Mark complete in Task details.
Reopen: on the Completed tab, hover over the task and click Reopen. It goes back to the open lists as Incomplete.
After each of these, a message at the top of the page has an Undo button in case you clicked the wrong task.
Good to know
Due today and Overdue only count your own tasks. A practice manager checking what's late for the whole team should use All open, which groups tasks under Overdue, Today and later dates.
You can delete a task from Actions in Task details, or from the … menu on its row. Deleted tasks and their comments can't be recovered. To keep the history, set the status to Canceled instead.
Task types and their statuses are set up by workspace admins and owners in Settings → Configuration → Tasks.
