Using Flowsheets within Smart Notes

How to include a flow sheet in a smart note, insert a chart, and add a new entry to a flow sheet directly from notes.

Embedding Flowsheet Data Into Smart Notes

Including a flowsheet in a smart note is a useful tool to track important patient vitals over time directly from the charting area. To start utilizing flowsheets in smart notes, there must be at least 1 flow sheet created (A flowsheet can be created by going to settings > flow sheets).

Using Smart Notes and Merge Tags to Pull in Flowsheet Data

Data from a specific flowsheet (e.g., Vitals) can be entered individually in a smart note template so they automatically populate when charting. You can select either the first value entered or the most recent value for any flowsheet parameter (e.g., temperature).

To add a flowsheet parameter into the template, type {{{ and search for the desired item:

  • The first word after {{ is the name of the flow sheet (e.g., Vitals, WeightLoss)

  • The second word is the parameter (e.g., Temperature, Weight)

  • The last word denotes first or last entered. firstValue means the very first vital ever recorded (i.e. for a patient just starting a weight loss program, the first weight ever recorded) and lastValue is the vital most recently recorded (i.e. if the patient has been in the weight loss program for a few months, it would be their most recent weigh-in)

Using full flowsheets in notes

While charting, you can pull in a flowsheet by typing "/" then clicking "Insert Flowsheet", or selecting the "Flowsheet" icon in the note header.

Once you've chosen to add data from a flowsheet, you must first select which flowsheet to use using the "Select Flowsheet" dropdown.

Once you've selected the flowsheet to use, you can record a new entry against that flowsheet view the "Enter New Data" tab. Entering new data will automatically copy back to the flowsheet in the patient's medical info tab.

Embedding the Flowsheet Data into a Note

Once you are ready to pull data into the note, select whether to insert a table or a chart. Charts can provide a good visual over time of a patient's progress. A table will display hard numbers in an easy to read format.

Next, select what parameters to include. All, some, or only 1 vital can be included in a table. The chart will display 1 vital only.

Finally, click "Insert into note". This process can be done several times within one note to include multiple tables or charts.
