Starting Point: This guide is to finalize your online booking set up. Use this once your services, providers, and, if using, devices are in place.
To set up your Prospyr online booking, you'll want to take the following steps:
Set Which Services are Bookable Online
In your catalog, you can designate services as bookable or not bookable online by checking or unchecking the "Online Booking" box next to each service:
Additionally, you can click the edit icon next to a service to access the advanced settings for that service, where you can:
Set Prerequisites for a Service
Prompt add-ons for the service when it selected by a patient in the online booking
To Set Prerequisites:
In the online booking section of the service settings, you can restrict who is able to book this service based on their status with your practice (e.g., "Existing Patients") or previous services they have had with you all. If you put multiple services in the "Only bookable by patients who have had these services in the past..", then a patient will be able to book if they have had any of those services:
To Prompt Add-Ons During Online Booking:
To prompt add-ons during the booking process, hit the "Add new Service Add-On" button in the service settings, and select the service you'd like to prompt customers to add on to their appointment:
By default, the add-on will be optional and placed after the service you are currently editing, but you can have it occur before the service you are editing by checking the box "Is Before core service" next to the add-on, and you can make it required via the "required" check box.
Confirm your Online Bookable Providers and their Settings
Next, you'll want to confirm which providers are bookable online and their settings. You'll first go to your Provider settings, then hit "edit" next to the provider whose settings you want to adjust.
In the Provider's settings, you'll go to the Work Settings Tab:
On this tab, two settings will control a Provider's online booking settings: Booking Buffer and Can be Booked Online?
Can be booked online - Toggle on for any providers who should be bookable online
Booking Buffer: How close to the current time can customers book appointments. For example, a booking buffer of 2 hours would mean that at 11am, the next possible appointment online would show as 1pm (if that time was available).
Create your online booking form
Prospyr supports two form page types for online booking forms:
Lead Forms - Designed to capture contact information prior to booking, use these in channels where you expect primarily new leads will be booking. Leads will populate on to your opportunity board where you can follow up with them regardless of whether they complete booking. Lead forms can also contain unlimited custom and/or screening questions to delight customers and capture more information for your practice.
Booking Pages - Designed to allow patients to browse categories, services, and more before giving their information, use these where you expect existing patients to book frequently, or where you want to put your best branding out there in the booking process. Deploy your online booking form
Prospyr forms can be deployed to open on a new page from a button click or embedded on your site.
First, you'll want to get your booking link:
For a Lead Form: Click the test form button at the top of the lead form, the url that opens in a new tab will be your booking link.
For a Booking Page: Click the share icon at the top of your booking page preview, the url that opens in a new tab will be your booking link:
If you are linked the page to a button on your website, that's all you need! Take that url and link it to the appropriates button(s) on your site.
